Questions

What people ask before they start, and what they ask afterwards.

Getting started

What do I need to start?

An email address. The free plan needs no payment details, and you can raise an invoice on it the same day.

Where does it run?

In a current web browser, with nothing to install. There is no app store listing today, so the browser is the way in on every device.

Do I have to move my old data in first?

No. Start with the next invoice you raise. Customers, projects and expenses can be added as you go rather than migrated up front.

What should I set up before my first invoice?

Your organisation profile — legal name, address and GSTIN — and one customer. Those are what a tax invoice prints and what decides the tax on it.

In what order do the modules fit together?

A quotation becomes a project or an invoice; an invoice feeds the GST return and the revenue figures; expenses attach to the project they belong to; a bank statement is matched against both. Nothing has to be entered twice.

Your organisation

What does Invovibe print on my documents?

Your organisation profile — legal name, address and GSTIN — with the place of supply and an HSN or SAC code on each line. Fill the profile in before issuing anything: a document prints what is there when it is raised.

Do I need a GSTIN?

The GST features assume a registered business, because a tax invoice is a registered supplier's document and the return is yours to file.

How is invoice numbering handled?

It stays continuous across a financial year rather than restarting when somebody creates a document, which is the property a return needs.

Where do organisation-wide choices live?

In Settings. Most of what it holds is obeyed by another screen — the bank account the ledger treats as active is set there, not in the ledger.

Can I change the details after issuing documents?

Yes, and documents already issued keep what they printed. That is deliberate: a document is a record of what was said at the time, not a live view.

People and access

What roles are there?

Eight: Owner, Admin, Editor, Manager, Finance, Staff, Viewer and Accountant. They run from full control to read-only, and the screens a person sees follow from theirs.

Who can change organisation settings?

Owner and Admin. Deleting the organisation is the Owner's alone.

What does a Staff member see?

Their own documents. It is the role for somebody who raises work of their own without seeing everybody else's.

Is there a read-only login for my accountant?

Yes, without the reports: Viewer changes nothing. Accountant sees every record and the reports, and can also record and approve expenses.

Who approves an expense claim?

Manager approves and Finance clears it for payment. Both are roles you assign rather than a fixed pair of people.

Are employees and users the same thing?

No. An employee record is a person you pay; a user is somebody who signs in. One person can be both, and plenty are only one.

Clients

What does a customer record hold?

Who they are, their GSTIN if they have one, and the address and state the supply is made to.

Why does the customer's state matter?

It decides the place of supply, and the place of supply decides whether the tax is CGST and SGST or IGST. Getting it wrong mis-taxes the invoice and the return that follows from it.

Does their GSTIN change anything?

It decides which table of the return the invoice lands in. A registered buyer makes it B2B; an unregistered one makes it B2C, large or small by value and place of supply.

Why not just type the customer name on the invoice?

Because documents are raised against the record, the same buyer cannot end up with two spellings, two GSTINs and two states across a year of invoices.

Quotations

What states does a quotation move through?

Draft, sent, accepted, declined and cancelled. The quotation carries its own state rather than living in somebody's inbox.

What happens when a client accepts one?

Acceptance is recorded against the quotation with the client's purchase order number. A prospect becomes a client, and the quotation becomes a project or adds its work to one already running; the invoice is raised from that project — a step somebody takes, not one that happens on its own.

Are earlier versions kept when I revise one?

Yes. A negotiation is a sequence, not a replacement: each version stays readable, so the agreed terms can be told from the ones that were not.

Can Invovibe send the quotation to my client?

You download or share the PDF yourself. Nothing here emails your client or chases them afterwards.

Invoicing

Which documents can I raise?

Tax invoices, proforma invoices, amendments, and credit and debit notes — each note linked to the invoice it amends.

How is the tax on a line decided?

From its HSN or SAC code and the place of supply, rather than a rate typed in by hand. That is what makes the return add up to the invoices.

What is on the invoice PDF?

The HSN or SAC code per line, the split between CGST, SGST and IGST, the place of supply, and your organisation's own details and GSTIN.

How do I correct an invoice a client already has?

With a credit or debit note against it. The note stays linked to the invoice it amends, which is what a return and an auditor both expect.

Does it do e-invoicing and generate an IRN?

No. Nothing here connects to the IRP or produces an IRN. The invoice holds the GSTINs, HSN codes and place of supply an e-invoice is built from, but generating one happens outside Invovibe.

Do you email invoices or send payment reminders?

No. You share the PDF, and nothing here contacts your customer on your behalf.

Projects

How can work be priced?

Two ways: a fixed price billed by milestone, or a retainer billed every cycle, weekly to yearly. A parent project can group several of either under one programme of work.

Can I bill a phase rather than the whole engagement?

Yes — milestone billing against agreed values, so a phase is invoiced when it is done rather than everything at the end.

How is profit per project worked out?

Invoiced value less the costs booked against that project. It is per engagement, not per invoice, which is the number that tells you whether the work was worth doing.

Can a project have sub-projects?

Yes. Work can be broken up under a parent, and lists can show or hide the sub-projects.

What about work with no agreed value?

A project with no total agreed at the start is shown as open rather than as a zero, and what it earns is what it bills. The people working on it can still be paid a share of what it earns.

How do costs get attached to a project?

An expense is booked against the engagement it belongs to when it is entered, so the margin is the margin rather than a reconstruction.

Expenses

What is the approval chain?

Submitted, manager, finance, paid — and every claim carries who did which and when. A claim stuck with finance is visible as that rather than as silence.

Where does the receipt go?

It is held against the claim it justifies, so the entry and its evidence are one thing at the point somebody asks — which is usually a year later.

How is capital versus revenue decided?

Where the cost is entered, by category and by value, rather than in a spreadsheet at year end. A person's own choice is never overridden.

How does a reimbursement work?

It points back at the claim it settles, rather than being a separate payment with a note attached.

Can I get the expenses out as a report?

Yes, as a report you can export. It is the same data the approvals and the project margins are built on.

Employees

What does an employee record hold?

One record per person, with their earnings and payment history together, so a question about a month is answered from the record.

Does Invovibe run payroll?

No. It is a record of people and what they were paid — not a payroll engine. It does not compute TDS or provident fund and does not generate challans.

How do reimbursements show up here?

Traced back to the expense that caused them, so a payment to a person can be read against the claim it settles.

Bank reconciliation

Does it connect to my bank?

No, and it does not ask for banking credentials. Statements arrive as the CSV or Excel file your bank already gives you.

How does matching work?

A confident match on amount and reference reconciles itself. A narration that merely looks familiar is offered as a suggestion, because a keyword is not proof.

What is the difference between unmatched and unexplained?

Unexplained is the smaller and more useful number: money that nothing in your records accounts for, rather than everything a matcher has not got to yet.

Which account is being reconciled?

The one set as active in Settings. The ledger obeys that choice rather than asking on every screen.

What does it match a statement row against?

The invoices and expenses you already hold. Nothing is invented to make a row balance.

GST

Which return does Invovibe prepare?

GSTR-1 — outward supplies, assembled from the invoices you have already raised rather than re-keyed at the end of the period. GSTR-3B, GSTR-9 and 2B reconciliation are not covered.

Does it file the return for me?

No. It produces the portal's JSON file, which you upload and file yourself. Nothing here signs in to the GST portal on your behalf.

I file quarterly under QRMP. Does that work?

Yes. Quarterly periods and the invoice-furnishing months inside a quarter are handled as their own thing, not as three monthly returns stacked up.

How is tax on an invoice decided?

From the HSN or SAC code and the place of supply, rather than a rate typed in by hand — which is what makes the return add up to the invoices.

Which tables does it fill?

B2B, B2C, exports and credit notes, section by section. The document decides which table it belongs in, not a person sorting a spreadsheet.

Can I check the return before I file it?

Yes. The summary reads the way the portal reads, so comparing the two is a comparison rather than a translation.

TDS

Which TDS does it track?

TDS deducted on supplier bills and on team members' project pay, by month and section, and the TDS clients withheld from your invoices. Salary TDS under section 192 is not covered.

Does it pay the challan or file Form 26Q?

No. It works out what is due and when, and records the challan and the return once they are done on the government's site.

When is TDS due?

By the 7th of the month after it was deducted, and by 30 April for March. Form 26Q is due on 31 July, 31 October, 31 January and 31 May, and Form 16A fifteen days after each.

How do I claim the TDS my clients withheld?

Each entry is listed by client and quarter. Tick it off when it shows in Form 26AS; one still missing after the client's return was due is worth asking the client about.

Reports

Is revenue shown with GST in it?

No. Output tax is money collected on the government's behalf, not income, so it is excluded from revenue. The figure is one you can plan against.

Which reports can I export?

The invoice and expense reports and the bank reconciliation report, as Excel or PDF — the expense and reconciliation reports as CSV too. A project's report and every invoice and quotation download as PDF, and the outward supply data leaves as the JSON the portal expects.

Do the reports agree with the documents?

They are built from them. A figure that disagrees with an invoice or an expense is a defect worth reporting, not a rounding difference.

Can my accountant see the reports without changing anything?

Not quite. Accountant sees every record and the reports and can export them, and it can also record and approve expenses. Viewer changes nothing, but does not include the reports.

Billing and plans

Is GST extra?

Yes. Prices are exclusive of GST, which is added at checkout at the applicable rate.

What happens when I reach a limit?

The action that would exceed it is blocked rather than billed. Buy add-on capacity against that limit, or move up a tier.

Can I downgrade?

Yes, from the next billing cycle. Data above the lower plan's limits stays readable; creating more is what stops.

How do refunds work?

See the refund and cancellation policy, which sets out what is refundable and the working-day window.

What happens to my data if I cancel?

It remains available for export. GST law requires tax records be kept for up to eight years, and that obligation outlives a cancellation.

Data and privacy

Can I get my data out?

Yes. Reports leave as Excel or PDF, invoices as PDF, and outward supply data as the GST portal's own JSON. None of it needs a request to us.

How long do you keep it?

Tax records for as long as GST law requires — up to eight years — even after an account closes. The privacy policy sets the rest out, and says plainly where that obligation and a request to erase collide.

Is the privacy policy final?

Not yet. It is published as an outline while it is being written, and it says so on the page rather than looking finished.

Troubleshooting

I paid and my plan has not changed.

The plan is applied when the gateway confirms the payment, without anyone here doing anything. If it has not, write to us with the organisation name and the payment id from the gateway's receipt.

I cannot sign in.

Use the password reset on the sign-in screen. If the address itself is wrong — a typo when the account was made — write to us, because that one cannot be fixed from the outside.

A figure in a report looks wrong.

Send the report and the invoice or expense you expected it to include. A number that disagrees with a document is a defect worth chasing, and the document is what makes it findable.

A colleague can see a screen I cannot.

Screens follow the role you were given. Ask whoever owns the organisation which role you hold — Owner and Admin can change it.

The tax on an invoice is not what I expected.

Check the customer's state and the HSN or SAC code on the line. Those two decide the rate and the CGST, SGST or IGST split between them.

Still stuck?

Write to us. A question nobody can answer from this page is a page worth fixing.
