Quotations
One quotation, from sent to signed to invoiced
Send, revise and convert without re-entering anything.

The problem it solves
Proposals lost in an inbox
A quotation sent as an attachment has no state. Which were accepted, which were declined and which are still waiting is a matter of memory.
Typing the agreed work again
Once a client says yes, the same items, prices and client details are typed again into a project and then an invoice, and every copy is a chance to differ.
A prospect is not yet a client
Quoting somebody who is not a customer usually means making a client record for every enquiry, most of which come to nothing.
What it does
Every change on the record
Each change logged with who made it and when
Accepted into a project
Accepted into a new project, or added to one already running
Acceptance on the record
Acceptance recorded against the quotation
Who it is for
Companies and LLPs
Staff see and edit only the quotations they raised, and the client's purchase order number is recorded when one is accepted.
Agencies, studios and firms
An accepted quotation becomes a fixed-price or retainer project, or adds its work to a project already running — more work for a client, not a second project.
Freelancers and consultants
A proposal PDF with a covering message drafted from the quotation, and a validity date so an old price is not honoured by accident.
Proprietors and small businesses
A quotation for an enquiry without creating a client first; the client record is made only when the quotation is accepted.
How it works
Where every quotation stands
A quotation carries its own state rather than living in somebody's inbox: draft, sent, accepted, declined or cancelled. What needs chasing is whatever has not moved.
An example, not live data.
From accepted to invoiced
Accepting one does not end it. A prospect becomes a client, and the quotation becomes a project — or adds its work to a project already running — with the client's purchase order on it. The invoice is raised from the project.

Every change, on the record
A negotiation is a sequence, not a replacement. Each save is logged against the quotation with who made it, when, and what changed, so the agreed terms can be told from the ones that were offered first.

Questions about quotations
What states does a quotation move through?
Draft, sent, accepted, declined and cancelled. The quotation carries its own state rather than living in somebody's inbox.
What happens when a client accepts one?
Acceptance is recorded against the quotation with the client's purchase order number. A prospect becomes a client, and the quotation becomes a project or adds its work to one already running; the invoice is raised from that project — a step somebody takes, not one that happens on its own.
Are earlier versions kept when I revise one?
Yes. A negotiation is a sequence, not a replacement: each version stays readable, so the agreed terms can be told from the ones that were not.
Can Invovibe send the quotation to my client?
You download or share the PDF yourself. Nothing here emails your client or chases them afterwards.
