People and access
Each person sees what their role allows
Users, roles and invitations: who signs in, and what each of them can see and do.

The problem it solves
One login, shared
When everybody signs in as the owner, nobody can say who changed an invoice, and anybody can delete anything.
Everyone sees everything
Somebody raising quotations needs their own quotations, not the payroll. Without roles, giving access means giving all of it.
Access that outlives the job
A person who has left still knows the password, and taking their access away must not erase the record of what they did.
What it does
Eight roles
Owner, Admin, Editor, Manager, Finance, Staff, Viewer and Accountant
Invited by email
People invited by email with a role, and removed without losing their history
Staff see their own
Staff see the documents they raised, not everybody else's
Help inside the app
An assistant that answers how-to questions and finds your own records
Who it is for
Companies and LLPs
Roles from Owner to Viewer, approvals by a manager and then finance on the Enterprise plan, and every change recorded against the person who made it.
Agencies, studios and firms
Staff who raise their own quotations and invoices without seeing anybody else's, and managers who see them all.
Freelancers and consultants
An accountant invited to see the books and reports and to record expenses, without sharing a password.
Proprietors and small businesses
One owner, and a Viewer login for whoever needs to look without changing anything.
How it works
What each role is for
A role decides the screens a person sees and what they can change there. The same person can hold a different role in each organisation they belong to.
| Role | Sees | Can change |
|---|---|---|
| Owner | Everything | Everything, and alone can delete the organisation |
| Admin | Everything | Everything but deleting the organisation |
| Editor | Everyone's documents | Everyone's documents |
| Manager | Everyone's documents | Everyone's documents, and the first approval |
| Finance | Every record, and the reports | The final approval, expenses and payments |
| Staff | Their own documents | Their own documents |
| Accountant | Every record, and the reports | Expenses and finance entries |
| Viewer | Every record | Nothing |
Approvals by Manager and then Finance need the Enterprise plan.

Joining, and leaving
An invitation goes to an email address with a role attached; accepting it adds the organisation to that person's account. Removing somebody ends their access and keeps everything they did on the record.

What it does not do
Questions about people and access
What roles are there?
Eight: Owner, Admin, Editor, Manager, Finance, Staff, Viewer and Accountant. They run from full control to read-only, and the screens a person sees follow from theirs.
Who can change organisation settings?
Owner and Admin. Deleting the organisation is the Owner's alone.
What does a Staff member see?
Their own documents. It is the role for somebody who raises work of their own without seeing everybody else's.
Is there a read-only login for my accountant?
Yes, without the reports: Viewer changes nothing. Accountant sees every record and the reports, and can also record and approve expenses.
Who approves an expense claim?
Manager approves and Finance clears it for payment. Both are roles you assign rather than a fixed pair of people.
Are employees and users the same thing?
No. An employee record is a person you pay; a user is somebody who signs in. One person can be both, and plenty are only one.
